Notes and Tasks in One App: Turn Notes Into Next Steps
Actions buried in paragraphs stay intentions. How to turn a note into tasks with dates, keep the note linked to them, and find it again later.

Meeting notes, book notes, a page of ideas for the trip: every one of them has a few lines that start with "I should", and none of those lines ever becomes a task. A week later you can't find the note anyway.
The fix is not a better notebook or a stricter to-do list. It is keeping notes and tasks in one app, where a line in a note can become a task with a date, and, once you link them, the task takes you back to the note it came from. Here is why those lines get stranded, and how to get them out, by typing or by voice.
Example meeting note with three highlighted lines, each turned into a task and linked back to the note: send the budget to finance, due Friday, book the venue, and ask Dana for the logo files.
Should notes and tasks live in the same app?
If your notes never produce anything to do, keep them wherever you like. Most notes do, though. A meeting ends with three things you promised. A chapter ends with one idea you want to try. A trip page fills up with bookings that have deadlines.
When notes live in one app and tasks in another, every one of those lines has to be copied across by hand, and the copy loses its context. The task says "Book the venue". The note said which venue, why that one, and what it costs. Two weeks later you have the task and not the reason.
Keeping them together helps twice. Turning a line into a task becomes one step instead of a copy and paste. And once you link the two, the task can always take you back to the note, and the note lists every task you link to it.
Why do action items in notes get lost?
Because a line in a note is an intention, and an intention on its own changes less than you would expect. It has no when, so it never comes up. It has no where, so it is not on the list you check in the morning. It sits in a paragraph you wrote once and will not reread.
Across 47 experimental tests, a medium-to-large change in what people intended led to only a small-to-medium change in what they did.
Leaving the line there is not harmless either. In experiments by Masicampo and Baumeister, unfinished goals caused intrusive thoughts during an unrelated reading task, and letting people make specific plans for those goals removed the interference. The note did its job of catching the thought. What it cannot do on its own is turn the thought into a plan.
How do I turn meeting notes into action items?
Do it once, soon after the meeting or the chapter, while you still remember what each line meant. Read the note from top to bottom and pull out every line that asks something of you.
- Start each one with a verb: "Send the budget to finance", not "budget".
- Make sure it is yours. A line about what someone else will do is a note, not your task.
- Give it a date if it has one. "By Friday" in the note should be Friday on the task.
- Put it where you plan, so it comes up on the day it matters.
In Ranya, the Notes page has an Ask bar under the open note for exactly this. Click into it and three starters appear. Pick Turn this into tasks and a chat opens beside the note, already holding what the note says.
Project kickoff
Kickoff with design and the venue team. Launch is in the spring.
I should send the budget to finance by Friday.
- Summarize this note
- Turn this into tasks
- What am I missing?
Example note, Project kickoff, open on the Notes page, with the Ask bar under it showing three starters: Summarize this note, Turn this into tasks, and What am I missing?
Before you turn a note into tasks, the third starter is a useful check: What am I missing? asks Ranya what the note leaves out. On a phone the starters stay out of the way, so type the same words into the bar.
How do I find something in my notes later?
Folders work when you remember where you put something. Usually you remember what it said instead, and digging for it costs more of the day than it seems.
62%
of survey respondents say they struggle with too much time spent searching for information in their workday.
That figure comes from Microsoft's 2023 Work Trend Index, a survey of 31,000 people in 31 markets. The practical answer is to search by content, not by title.
In Ranya, press Command K (on a phone, open More and tap Search) and type a few words from inside the note. Search matches what a note says, not only its name, and lists it under Notes. On a call or in chat, ask instead: "Find my notes about the budget." Ranya searches every page and tells you what she found.
How Ranya connects notes and tasks, and why it asks first
Ranya keeps notes, tasks, email and chats in one app, and lets you link any of them to any other. Three choices shape how a note becomes a plan. See everything notes and email can do for the rest.
The Ask bar proposes, you decide. Turn this into tasks does not quietly fill your board. Ranya reads the note and proposes tasks in the chat, and each one waits for your yes. Several at once arrive as one group: take them together, or answer each one.
You: Turn this into tasks
Ranya: Here are three tasks from your kickoff note. Each one waits for you.
Create 3 Tasks
3 pending
Send the budget to finance
Oct 16Book the venue
Ask Dana for the logo files
Example chat beside the note. You ask: Turn this into tasks. Ranya replies that each task waits for you, then proposes three as one group, Create 3 Tasks, 3 pending: Send the budget to finance, due Oct 16, Book the venue, and Ask Dana for the logo files, with Cancel All and Create All under them.
Unless you name a board, a task without a date goes to your Inbox to be filed, and a task with a date goes straight onto your calendar.
Links go both ways. A task made in a chat is linked to that chat. Link it to the note as well and each shows on the other: open the task and the note is one tap away, open the note and you see every task you linked to it. That is the point of keeping tasks, notes and email together: the context comes with the work.
Two example panels. On the left, the task Send the budget to finance, linked to the note Project kickoff. On the right, the note Project kickoff, linked to its three tasks.
AI edits only what you select. Select a sentence or a paragraph, tap the sparkle button (Edit with AI), and pick a change such as Make shorter or Fix grammar. You see the result in place before anything is kept, and the rest of the note stays as you wrote it.
Why build it this way? A note's value is its context, so the context should travel with the task instead of being copied away from it. And the plan is yours: a model can draft tasks from a page, but it should never put them on your list without your yes.
From meeting note to calendar, step by step
Write the note, or say it
Type it as it comes. To talk instead, hold Command M in the note, or tap the mic on your phone, and your words appear as you speak.
Tidy the part that needs it
Select the paragraph, tap the sparkle button (Edit with AI) or press Command Shift I, then Make shorter. Accept keeps it, Discard drops it, and Regenerate tries again.
Example editOnly the selected paragraph changes; the line above it does not. The shorter wording is model-written. Example note before and after an AI edit. On the left, a three-sentence paragraph about two venues is selected. On the right, only that paragraph is shorter, and the line above it is unchanged.
Ask for the tasks
Click into the Ask bar under the note and pick Turn this into tasks. On a phone, type it into the bar. A chat opens beside the note with the proposed tasks.
Read them, then say yes
Check each task's wording and date. Create All takes them all, Cancel All drops them, or answer each one on its own. On a phone they read Add all (3) and Skip all. Answer before you type anything else: a new message cancels any task still waiting.
Then, if one needs a date, say it in the same chat: "Make the venue one due next Wednesday." Ranya asks before that change too, and the dated task lands on your calendar.
Link the note
Open a task, tap the link button in its header, then the note icon (Link note), and search for the note. Or link them all from the note: tap the task icon (Link task) and add each one. Or say "Link the kickoff note to the budget task."
Find it, and plan around it
Weeks later, press Command K and type a few words from inside the note, or ask: "Find my notes about the budget." Then plan your day around the tasks it produced.
Can I dictate a note?
Yes, two ways. Hold Command M in any text box in Ranya, a note included, or tap the mic on your phone, and your words appear as you speak. There is more on that in how dictation works in Ranya.
Example call on a phone. You say: Take a note: ideas for the trip. Ferry times, a hostel near the old town, and one day for the islands. Ranya is asking: Create page 'Ideas for the trip', with Cancel and Confirm.
Or call Ranya and say "take a note", then what it should say. Later on the same call, "add book the ferry to my trip note" adds a line to the end of that page without touching the rest, and she asks before that change too.
Frequently asked questions
Should notes and tasks live in the same app?
If your notes produce tasks, it helps. When a task links back to the note it came from, you keep the context, and the "I should" lines don't get stranded in a page you never reopen.
How do I turn meeting notes into action items?
Go through the note once and pull out every line that needs doing, give each one a clear verb and a date, and put them where you plan your day. In Ranya, the Ask bar under the note you have open on the Notes page can turn it into tasks, and each one is created only once you confirm it.
Can I turn a note into tasks by voice?
Yes. On a call or in chat, say "turn my kickoff note into tasks". Ranya reads the note and proposes the tasks, and nothing is created until you say yes.
Can AI edit just part of a note?
Yes. In Ranya you can select some text and ask AI to change just that part, such as shortening or rewording it, without touching the rest of the note.
Can I dictate a note?
Yes. Hold ⌘M (Ctrl+M on Windows) in any text box, including a note, or tap the mic on your phone, and your words appear as you speak, cleaned up when you stop. On a call you can also say "take a note" and what it should say.
Can I import my notes from another app?
No. Ranya does not import notes from other apps. To bring one note across, paste its text into a new note, and the Ask bar can then turn it into tasks.
