A Notion Alternative for Personal Planning, Ready on Day One

Notion is a flexible workspace you build yourself. If you want to plan your day rather than build a planner, here is what Notion does well, where the setup goes, and a planner ready on day one.

You found a beautiful daily planner template on a Sunday evening. By the time you had added a Tasks database, chosen its properties and filtered a view to show today, it was late, and on Monday morning the day started before the planner was finished.

That is not a failure of discipline. It is what a tool made of building blocks asks for. This guide is a fair look at what Notion does well, why it can feel like too much when all you want is to plan your day, and what a Notion alternative for personal planning should do instead.

    Build it first

    1. 1Pick a planner template
    2. 2Add a Tasks database
    3. 3Add properties: Date, Status, Priority
    4. 4Filter a view to show today
    5. 5Connect Notion Calendar
    6. 6Plan the day

IllustrationTwo first mornings: a planner to build before you can plan, or a planner already built, holding what you have put down.

On the left, one common way to set up a daily planner in Notion: pick a planner template, then add a tasks database, then add properties: date, status, priority, then filter a view to show today, then connect notion calendar, and only then plan the day. On the right, Ranya's Plan today, already gathering Send the invoice (inbox), Call the dentist (today), Walk for 20 minutes (habit), with Start under them.

Is Notion good for personal use?

Yes, and it deserves the credit first. Notion’s pitch for personal use is simple: “Write, plan, & get organized in one place.” Its free plan is “For individuals to organize personal projects and life.” It is a lovely place to write. Pages sit inside pages, so a reading list and a personal wiki can live in one sidebar, and its marketplace lists more than 30,000 templates made by its community. A free app, Notion Calendar, shows your database dates beside your Google, Outlook or iCloud events.

Why does Notion feel complicated for planning a day?

Because building is the first step. Notion’s own promise is that you can “build it to match the way your brain works”. That is its strength, and it is also the cost. To plan a day you decide what a task is, which properties it carries, which view shows today and where your goals and habits go. A template answers some of that, but it is someone else’s answer. Notion’s AI can help generate docs and autofill databases, but the shape of the system is still yours to choose. For anyone who wants help with it, Notion points to Consulting Partners who offer “Get personalized 1:1 help for your Notion setup”.

The building can feel worth it. In four studies, Norton, Mochon and Ariely found that people value what they make themselves more highly: the IKEA effect. They also found the catch.

labor leads to love only when labor results in successful completion of tasks
A planner you finish building can feel like yours. One left half built can give you the work without the reward. Studies of building boxes, origami and Lego, not of planners.Source: Norton, Mochon and Ariely, The IKEA effect: When labor leads to love, Journal of Consumer Psychology (2012)

And even a finished planner is a system to keep up. When your week changes shape, you are the one who reshapes the database. That is usually what “Notion is too complicated” means: the tool is fine, but the job you wanted done was planning a day, not building a planner.

What should a Notion alternative for personal planning do?

Less than a workspace. Whether you want a Notion alternative for personal use or just something easier than Notion, it should give you a few things:

    • A place to put things down fast, before you know where they belong.
    • Dates that land on a calendar on their own, next to your meetings.
    • One short list for today, made from what is due, overdue or important, not a view you maintain.
    • Notes, goals and habits beside it, so the day connects to what you are working toward.
    • A way to say it. Sometimes the fastest plan is the one you talk through.

The research on unfinished goals points the same way. Masicampo and Baumeister found that making a specific plan for an unfinished goal stopped it pulling at people’s attention. The plan is what helps, so the less that stands between you and it, the better.

Allowing participants to formulate specific plans for their unfulfilled goals eliminated the various activation and interference effects.

That is the list Ranya was built against. It is built for you, not a company: one person and their day. Your tasks live on boards, and every dated task shows on your calendar. Notes, goals with a number and a date, and habits whose strength never resets after a bad day sit beside them, with your Gmail inbox and Focus, on the web, your phone, Mac and Windows. And you can call Ranya from any page and talk your day through.

    What does Notion do better?

Honestly, a lot, if building is part of the joy for you. Notion is the better choice if:

Ranya is not a smaller Notion. It is a planner that is ready on day one, for people who would rather plan than build. If you are also weighing an AI planner, how Ranya compares with Motion uses the same approach.

How to plan your day in Ranya from the first day

    1. Write down what is on your mind

There is nothing to set up first. On any page, press Command J, type one task and press Enter. On a phone, tap More, then Task. It lands in your Inbox, and when there are a few, tap the sparkle beside + (Suggest boards) and Ranya suggests a board for each. If your head is full, brain dump everything first and sort it after.

Add to Inbox: Book the car service

      ⌘J
Example taskQuick add, from any page. The task waits in your Inbox until you move it.
    2. Give dates to the things that have one

Open a task and give it a date, and it shows on your calendar on its own, next to any Google, Outlook or iCloud calendar you add. When you sit down to work, open Plan today: it gathers what is overdue, due today, pinned, in your Inbox and the habits today still owes, so you pick a few things and start.

    3. Keep your notes beside your tasks

Write the thinking in Notes, the way you would on a Notion page. Under the note, the Ask bar offers Turn this into tasks: Ranya suggests the tasks and asks before she adds them. There is more on this in keeping notes and tasks in one app.

Compare two van quotes, and book one for a Saturday.

      • Turn this into tasks
      • What am I missing?
      Ask about this note…
Example noteA note with the Ask bar under it, one tap from turning it into tasks.
    4. Or call Ranya and talk

Tap the Ranya button at the bottom right of any page, or press Command Shift Comma. On a phone, tap the Ranya button just above the tab bar, or Call in More. Ask what is on today, add a task, or ask her to find time for something. She reads each change back and waits for your yes, or a tap on Confirm. There is more on planning your day out loud, and a short daily routine in how to plan your day.

    Which should you pick?

Pick Notion if you want a workspace to build: a wiki, a writing home, databases shaped exactly your way. Pick Ranya if you want to plan your day today, without building a system first, and like the idea of talking it through. See what you can do on a call with Ranya, or see what the free plan includes.

A note on fairness: Ranya is built by one person, who also wrote this post, for exactly the person it is about. Every Notion fact links to Notion’s own pages, so you can check it.

    Frequently asked questions

Is Notion good for personal use?

Yes, especially for writing and keeping things: notes, documents, reading lists, a personal wiki. Its free plan is meant for individuals. For planning a day, though, you build the planner yourself first, from a template or from blocks and databases, and then keep it up.

Can I use Notion as a daily planner?

Yes. Start from a daily planner template, or build one from a database with a date property and a view filtered to today. It works well once it is set up, and you keep it up as your week changes.

What is a good Notion alternative for personal planning?

One that is ready to plan with on the first day, without a setup. Ranya keeps your tasks, calendar, notes, goals and habits in one place, gathers today into one short list, and lets you call Ranya and plan your day out loud.

Can I import my Notion pages into Ranya?

Not with an importer. Bring over what you need this week: press Cmd+J (Ctrl+J on Windows) to capture each task into your Inbox, paste the notes you still use into a note, or say your tasks on a call.

Is there a free Notion alternative for personal use?

Ranya has a free plan with no time limit and no card needed, and it includes voice calls, tasks, calendar, notes, goals, habits and focus. See the pricing page for what the paid plans add.

What does Notion do better than Ranya?

Building your own system. Notion has databases with custom properties, a large template marketplace, nested pages for a personal wiki, and pages you can publish to the web. If you enjoy designing how your information fits together, Notion gives you more room.
